We wish to be transparent on how we process your data and show you that we are accountable with the General Data Protection Regulation (GDPR) in relation to not only processing your data but ensuring you understand your rights as a client.
It is the intention of this privacy statement to explain to you the information practices of Irish Mortgage Network T/A Finance Matters in relation to the information we collect about you.

Who are we?
Finance Matters has been established since 1997 to provide impartial finance advice on a range of products to clients focussed on their needs.
Based in Terenure, Finance Matters is a long-established financial advisory firm, well-regarded in the business. Our goal is to provide quality advice and tailored financial solutions to our clients. We want to help clients to get their dream home and help them to protect their families and provide for their retirement.

Purpose for processing your data
In order that we can provide you with our best in class advice and service you will need you to provide us with personal information including name, address, dates of birth and details of your financial circumstances and in some cases personal sensitive data e.g. medical information
How do we collect your information?
The personal information we collect varies depending upon the nature of our services. We will endeavour to provide you with an overview of those categories of personal data our organisation collects and our purpose for using that data.
We collect personal data in the following ways, if you:
- Request a service from us (for example if you are interested in obtaining a product or service with us);
- Register with or use our website or online application forms;
- Use our website or online application forms and it installs cookies or other tracking technologies on to your device;
- Engage with us on social media;
- Contact us with a query or complaint; and
- Apply for a position with us.
What Information Do We Collect?
The information we collect about you may include the following:
- Contact and identifying information (e.g. name, address, email address, phone numbers, photo ID, proof of address)
- Demographic information (e.g. date and place of birth, gender, marital status, nationality, we may also use personal information about other people such as family members you wish to insure on a policy e.g. your children/spouse)
- Family and Beneficiary data e.g. dependants, next of kin, nominated beneficiaries, Power of Attorney, Enduring Power of Attorney, Solicitor, Tax Advisor/Accountant)
- Employment information (e.g. job title, employer, employment status, salary information, employment benefits, employment history)
- Financial information (e.g. information about loans, credit cards, debts or assets, bank account details, credit history, bankruptcy status, salary, employment benefits such as bonus)
- Unique identifiers (e.g. PPSN, tax identification number, pension scheme reference number, insurance policy numbers)
- Publicly available information (e.g. information about you in the public domain such as Director information in Companies Registration Office)
- Health information, where necessary as part of an application, such as your health status, medical records and history, medical assessment outcomes, personal habits (such as smoking, alcohol consumption), disability information)
- Pension and insurance benefits information (e.g. current benefits, pension entitlement, date of retirement, voluntary contributions)
- Claims data (e.g. where you notify us of a claim or need help with one)
- Other information we require to provide our service to you (e.g. search in relation to money laundering, sanction and credit checks, criminal record information where required, information provided about you by others such as your employer or spouse/family member, your professional advisor).
When we collect sensitive personal data as defined within the GDPR we will ensure that we require this information, and we have your explicit consent and/or authorisation prior to our collection. What we will use this information for:
We gather information about you for the purpose of:
- Making an application for Mortgage, Life, Pension and Investment products.
- To make recommendations about the products you currently hold with us.
- Decide how products you don’t currently hold might be suitable.
- Fulfil our contractual obligations to you and provide you with the information, products and services you request
- Performing services to our clients and protective clients
- Statutory and other regulatory requirements, including AML/Sanction checking, Knowing Your Customer / Fact Find and adherence to the Consumer Protection Code
- Communication with you including contacting you if required or to respond to any communications you might send us
- Processing claims
- Responding to queries and complaints
- To notify you about changes to our service as required
- We may use your information for direct marketing purposes when you have given us permission to do so.
Why we are processing your data? Our legal basis.
In order for us to provide you Mortgage, Life, Pension & Investment products, Finance Matters need to collect personal data for the Mortgage, Life, Pension & Investment applications. Our reason (lawful reason) for processing your data under the GDPR is:

Performance of a contract |
Finance Matters needs to process your data as this is necessary in relation to a contract of insurance to which the individual has entered into or because the individual has asked us to progress an application so they can enter into a Mortgage, Life, Pension or Investment contract.

This is used when we need to assess risk relating to an insurance policy for you. We share this information with other third parties where it is necessary to manage these services provided to you – these services include insurance underwriters, reinsurer and other insurance providers. We may also rely on consent to share this information with other companies that we deal with on your behalf that we are regulatedwith so that they can contact you with of products they provide. If you give us your consent you can withdraw this easily at any time. We may also rely on our consent to send direct marketing to you. We will ensure that we present this to you concisely. We will also ensure that we use clear and plain language and if you give us your consent you can withdraw this easily at any time. Sometimes if you refuse to provide information that we reasonably require to provide the services, we may be unable to offer you the services and/or we may terminate the services provided with immediate effect. |

How will Finance Matters use the personal data it collects about me?
Finance Matters will process (collect, store and use) the information you provide in a manner compatible with the EU’s General Data Protection Regulation (GDPR). We will endeavour to keep your information accurate and up to date and not keep it for longer than is necessary.
Special Categories of Personal Data.
Special categories of data are sensitive in relation to your fundamental rights and freedoms and therefore require specific protection when processed as these could create significant risks to the rights and freedoms of individuals.
If we collect any special categories of personal data (e.g. health, religious beliefs, racial, ethnic origin – financial information is not classified as special categories of personal data) – we will ensure the below:
- we will obtain your explicit consent
- we will adhere to the Data Protection Act 2018
This Act allows us to process special categories of personal data for insurance and pension purposes. We will ensure we have suitable and specific measures in place to safeguard the rights and freedoms of you and the processing of your data. These measures relate to the below:
- a policy of insurance or life assurance,
- a policy of health insurance or health related insurance
- an occupational pension, a retirement annuity contract or any other pension arrangement
- the mortgaging of a property
Retention
The retention period for each category of personal data will be set out in our Retention Schedule along with the criteria used to determine the period, including any statutory obligations we have. As a guide, for legal and best practice reasons we are required to keep your information for 6 years after the date on which our relationship with you ends. Personal data will be disposed of securely.
Security
The security of your personal data is important to us, we have implemented appropriate technical and organisational measures to ensure a level of security appropriate to the risk. We have processes in place to protect your personal data from loss, unauthorised access, misuse, alteration and destruction.
Who are we sharing your data with?
We will only use this information to provide you with a range of Mortgage, Life, Pension and Investment and any other products which we believe may be in your best interest or to meet our regulatory obligations. We will therefore only pass information to our staff, support service providers, or at your request to other parties to use the data for the purposes required such as the financial institution from which you decide to purchase a product or service and we will only provide them with information that is necessary for them to perform the services, except where other disclosure is required by law.
From time to time we would like to send you information about various products and services which we can arrange or provide for you. You have the right to ask us not to send you marketing information and you can decide to ask us to do this at any time. You may do this by email, telephone, or post.
We may pass your personal data on to third-party service providers contracted to Finance Matters in the course of dealing with you. Any third parties that we may share your data with are obliged to keep your details securely, and to use them only to fulfil the service they provide on your behalf. When they no longer need your data to fulfil this service, they will dispose of the details in line with Finance Matters procedures and GDPR requirements.
If we wish to pass your sensitive personal data onto a third party we will only do so once we have obtained your explicit consent, unless we are legally required to do otherwise.
If we transfer personal data to a third party or outside the EU, we as the data controller will ensure the recipient (processor or another controller) has provided the appropriate safeguards and on condition that enforceable data subject rights and effective legal remedies for you, the data subject, are available.
To provide our services and to comply with legal obligations imposed on us, we may share your information with:
- Financial Services Product Producers contracted providers with Finance Matters such as insurance and assurance companies, insurance underwriters, investment companies, pension providers, mortgage providers.
- Vetting and risk management agencies such as credit reference, criminal record, fraud prevention, data validation and other professional advisory agencies where necessary to prevent and detect fraud and take steps to assess risk.
- Legal advisers, loss adjusters, and claims investigators, where necessary to investigate, exercise or defend legal claims, insurance claims or other claims of a similar nature
- Medical professionals, e.g., where you provide health information in connection with a claim against your insurance policy; or when we are providing a quote for insurance
- EU Law enforcement bodies, when required to do so by law and/or regulation, or another legal request
- Public authorities, regulators and government bodies, where necessary for us to comply with our legal and regulatory obligations, or in connection with an investigation of suspected or actual illegal activity
- Third-party processors: We outsource our processing operations to suppliers that process personal information on our behalf. Examples include IT service providers who manage our IT and back-office systems and telecommunications networks and accounting services. These processing operations remain under our control and we have data processing agreements in place with all our third party processors to ensure all processing is carried out in accordance with our security standards and the GDPR.
- Auditors where necessary for the conduct of company audits or to investigate a complaint or security threat
- Others: On the sale or reorganisation of our business whether by asset or share disposal or other transaction relating to our business
Data Subjects Rights:
Finance Matters facilitate you, our clients, rights in line with our data protection policy and the subject access request procedure. This is available on request.
Your rights as a data subject:
At any point while we are in possession of or processing your personal data, you, the data subject, have the following rights:
- Right of access – you have the right to request a copy of the information that we hold about you.
- Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
- Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records. (The erasure of such data will be dependent on our other legal obligations, and whether the data is subject of legal privilege).
- Right to restriction of processing – where certain conditions apply you have a right to restrict the processing.
- Right of portability – you have the right to have the data we hold about you transferred to another organisation.
- Right to object – you have the right to object to certain types of processing such as direct marketing.
- Right to object to automated processing, including profiling – you also have the right to be subject to the legal effects of automated processing or profiling.
- Right to judicial review: if Finance Matters refuses your request under rights of access, we will provide you with a reason as to why.
All the above requests will be forwarded on should there be a third party involved as we have indicated in the processing of your personal data.
Complaints
If you wish to make a complaint about how your personal data is being processed by Finance Matters or how your complaint has been handled, you have the right to lodge a complaint directly with the Finance Matters data protection representatives GDPR Owner.

Failure to provide further information
If we are collecting your data for a contract and you cannot provide this data, the consequences of this could mean the contract cannot be completed or details are incorrect. When you fail to provide us with information we require to fulfil our obligations to you, we may be unable to offer our services to you.
Profiling – automatic decision making
Financial and mortgage advisors using profiling in their business.
The main categories are:
- Risk profiling
To establish a customer’s attitude to investment risk (relates to pensions and investments) advisors have automated calculators which calculate the customers attitude to various levels of risk having answered a series of questions.
- Profiling for marketing purposes.
When we seek to contact you about other services, as outlined above we run automated queries on our computerised database to establish the suitability of proposed products or services to your needs.
- Establishing affordability and providing quotations for financial services products
